Registered Office Co is a trading name of Bow Studio Limited, a company registered in Scotland under number SC791882, with its registered office at 65 Bath Street, Suite 2/7, Second Floor, Glasgow, G2 2BX. Our service address is 50 Clifford Lane, Glasgow G51 1NR.

Bow Studio Limited is the data controller for everything described on this page. Our registration with the Information Commissioner's Office is being completed, and this page will show the registration number as soon as it is issued.

For anything to do with your personal information, email privacy@bowhospitality.co.uk. For anything else, info@registeredofficeco.co.uk reaches us. We respond within one month.

What we collect

When you apply

The signup form asks for your name, email address, company name, company number, the plan you want and, on the Office & Director plan, the name of the director the service covers. That is all it asks for, and that is all it sends us.

When we set your service up

Before we can activate an address we have to confirm who you are. That means identity documents, proof of address and date of birth for the people behind the company. We are required to do this; we explain why under Why we use it below.

While the service runs

We receive official post addressed to your company at our address, open it, scan it and send it to you. The contents of that post are personal information too, and we treat it as yours.

We keep a record of what we have sent you, and of our correspondence with you.

Payment

Payments are handled by our payment provider. We see that a payment succeeded and the last four digits of the card. We never see or hold full card numbers.

This website

The site sets no cookies. There is no analytics, no advertising and no tracking of any kind, which is why you have not been asked to consent to anything. Our host keeps standard server logs, including IP addresses, for security and troubleshooting.

Why we use it, and on what basis

To provide the service you have asked for
Setting up the address, receiving and scanning your post, answering your questions, taking payment and renewing. The legal basis is performance of our contract with you.
To meet obligations the law puts on us
Providing a registered office address is a regulated activity in the UK. We are required to verify the identity of our customers, to keep records of those checks, and to report certain matters to the authorities. We may also have to respond to Companies House, HMRC, the courts or law enforcement. The legal basis is legal obligation.
To run the business sensibly
Keeping records, preventing fraud and misuse of our address, taking advice, and defending ourselves if a dispute arises. The legal basis is our legitimate interests, balanced against yours.
To reply to an enquiry that does not become an order
If you apply and we do not end up working together, we keep the enquiry briefly so we can pick up the conversation if you come back. The legal basis is our legitimate interests.

We do not use your information to market unrelated products, we do not sell it, and we do not profile you.

Who else sees it

These are the only categories. We do not pass your information to anyone else.

Where it goes

Some of these providers process information outside the United Kingdom. Where that happens, the transfer is covered by UK adequacy regulations or by the UK International Data Transfer Agreement, so your information keeps the same protection it has here.

How long we keep it

Your rights

You can ask us to give you a copy of your information, correct it if it is wrong, delete it, restrict what we do with it, or hand it to another provider. You can object to processing we do on the basis of legitimate interests. Email privacy@bowhospitality.co.uk and we will deal with it within one month.

Two honest caveats. Where we are legally required to hold something — identity records above all — we cannot delete it on request. And deleting your information generally means ending the service, because we cannot run an address service without it.

If you are unhappy with how we have handled your information, tell us first and give us a chance to fix it. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. You do not have to come to us first.

Changes

If we change this notice we will change the date at the top. If a change is significant, we will email customers rather than hope they notice.
